Specialist Trade Compliance & Order Handling – Heppenheim, DE
Summary and Scope:
As a Trade Compliance Specialist, you are primarily in charge of all customs procedures. You will be responsible for checking and professionally processing all import and export processes in the company, preference checks and assigning customs and tax codes to our products. This role will enable our business to comply with relevant export, import and customs compliance laws and regulations under the jurisdictions of the countries where these companies operate with a focus on Germany. You work closely with all relevant stakeholders within the company, regionally and internationally. In addition, you will support the order handling team in their daily work.

Core Responsibilities
- Develop, maintain, and implement comprehensive export compliance documentation and processes
- Ensure strict adherence to all applicable domestic and international trade regulations, including implementation of specific directives from regulatory authorities
- Continuously monitor and analyze global trade regulation changes, assessing potential business impact and coordinating cross-functional compliance initiatives
- Provide expert guidance and support to internal departments on all export control and customs matters
- Oversee and manage all export control-related business transactions with meticulous attention to detail
- Maintain record keeping of all export and import shipment documentation to stay within customs compliance requirements and audit readiness.
- Oversee HS (Harmonized System) code management at the SKU level, ensuring accurate product classification for customs and export compliance purposes
- Cross collaboration with other departments within the organization to meet import and export shipping requirements Communicate compliance risks, opportunities, regulatory updates, and strategic recommendations to both internal and external stakeholders
- Serve as primary liaison with the Federal Office of Economics and Export Control (BAFA), addressing processing inquiries, legal questions, preliminary consultations, license applications, zero notices, goods classification inquiries, and other foreign trade matters, utilizing ELAN-K2 platform when appropriate
- Manage export licensing processes, including comprehensive oversight and monitoring of all export activities
- Act as the designated point of contact for customs and export control matters with business partners and government authorities (including customs, BMWi, BMVg, BKA, IHK)
- Conduct pre-offer compliance reviews for transactions involving parties from embargoed countries or related to countries under (arms) embargo restrictions
- Support and facilitate foreign trade audits, ensuring organizational readiness and compliance
- Identify opportunities to define and enhance export control-related processes
- Deliver comprehensive instruction and training to employees across all organizational levels
- Establish and maintain systematic documentation and archiving protocols for all export control-related business transactions
