Job Summary

Nova Biomedical is a dynamic, fast paced Life Sciences Company looking for a new member of the finance team to support our international expansion plans. We are looking for an individual who can work as part of our shared service team and be responsible for the coordination, administration and continuous improvement of key indirect procurement and business services across Europe.

Working within the shared service team, coordinating procurement activities and business services, with focus on the management and administration of the European company vehicle fleet, supplier and contract management, and business support services, ensuring compliance with company policies, supplier agreements, and local requirements.

The successful candidate will possess strong organizational and time management skills. They will also have a high level of commitment and initiative, a desire to make a difference and be a proven team player.

Responsibilities

• Coordinate and administer the European company vehicle fleet program across multiple countries.
• Act as the primary point of contact for vehicle leasing providers, fleet management companies, and internal stakeholders.
• Support vehicle ordering, replacements, returns, driver allocations, and contract administration.
• Monitor fleet-related costs and assist in identifying opportunities for standardization and cost optimization.
• Ensure compliance with internal vehicle policies and local regulatory requirements.
• Maintain accurate fleet records, reporting, and supporting documentation.
• Coordinate the procurement and administration of insurances, rental agreements and other equipment or services for European countries
• Support the transition of indirect purchasing activities into centralized processes where appropriate.
• Work with department managers and business stakeholders to identify procurement requirements and supplier needs.
• Assist in supplier onboarding, documentation collection, and vendor master data maintenance.
• Track contract renewals, service agreements, and supplier performance metrics.
• Support the implementation and continuous improvement of procurement policies, procedures, and controls.
• Prepare reports and analyses relating to spend, contracts, supplier performance, and business services activities.
• Process and coordinate invoices related to office operations, business services, and indirect procurement activities.
• Administer employee travel insurance and other business insurance-related processes across European entities.
• Coordinate with internal stakeholders and external service providers to ensure effective delivery of office and business support services.
• Support the development, implementation, and continuous improvement of business service policies, procedures, and controls.
• Troubleshoot and resolve day-to-day operational, supplier, and administrative issues.
• Maintain accurate records, reporting, and supporting documentation related to office operations, suppliers, contracts, and business services.
• Collaborate with other departments to ensure efficient service delivery.
• Assist with audits, compliance reviews, and internal reporting requirements.
  
  

Experience Requirements

• Strong organizational and administrative skills with excellent attention to detail
• Understanding of procurement processes, supplier management, and contract administration
• Ability to manage multiple priorities and coordinate activities across different countries and function
• Prior experience with Netsuite/ SAP would be preferred
• Experience with procurement platforms would be preferred
• Strong Microsoft Excel and Microsoft 365 skills required
• 3-5 years of experience in Procurement, Purchasing, Fleet Management, Business Services, Finance Operations, or a related function
• Experience managing supplier relationships and coordinating service providers
• Experience working in a multi-country or international business environment preferred
• Previous experience working collaboratively with cross-functional teams
• Experience in Shared Services environments preferred?
• Previous experience in office management, procurement, business services, accounts payable, or a related administrative function.
• Strong problem-solving and organisational skills with the ability to manage multiple priorities in a fast-paced environment.
